The Area Host Role
Area Hosts are the key to making each tour location possible. Quite simply, the tour could not run without you.
You take the lead in organising the local arrangements, including venues, host families, community connections, and the day-to-day schedule for the visit.
Our tour coordinator provides guidance and support, but the local planning is led by you. Your leadership ensures UBUNTU arrives to a well-prepared and welcoming experience.
Host Families
One of the most important parts of the Area Host role is coordinating local host families.
These families welcome performers and team members into their homes, creating a safe and caring base while the group is in your area.
Area Hosts work within their community to find and organise suitable families. This often becomes a highlight of the visit, as genuine friendships form and the experience becomes personal for everyone involved.

What we need from your area
Area Hosts take the lead in coordinating the local arrangements for the tour during its time in their area. This does not mean doing everything yourself, but bringing the right people together and keeping the local planning on track.
This typically includes:
• Coordinating local host families
• Organising a suitable concert venue
• Connecting with schools, choirs, or community groups for workshops where relevant
• Arranging rehearsal space if required
• Creating a simple day-by-day local schedule
• Setting a central daily meeting point for the tour bus
• Being the main point of contact between the tour coordinator and the local community
The tour coordinator provides clear guidelines, timelines, and ongoing support, but the local organisation is led by you.
Host Families - What to Know
Host families are a vital part of the UBUNTU tour experience and one of the most meaningful ways a community can be involved.
A typical tour group includes around 16 performers and crew, which usually requires approximately eight homes depending on how many guests each family can accommodate. Performers are placed in small groups, with a minimum of two per household, and placements are always organised by gender.
All performers are young adults and are generally independent, respectful, and easy to host. They do not need to be waited on, but they do need a safe, welcoming home environment. Performers are encouraged to be part of family life and are happy to help with meals and everyday routines.
Host families provide accommodation, meals while the group is in the area, and a packed lunch each day. Each morning, families bring their guests to a central meeting point, where the tour bus collects the group for the day’s activities.
While host families play an important role, the Area Host is not responsible for housing or feeding everyone personally. Most communities share this responsibility across schools, churches, choirs, and local networks, with many people contributing in different ways.

Supporting the team with meals
During busy performance days, the wider community often helps provide meals.
Churches, schools, and local supporters frequently contribute shared dishes or simple group catering so the performers are well fed and cared for.
