TERMS AND CONDITIONS
1. General Information
The Exchange is a scholarship-supported intercultural creative exchange initiative facilitated by KwaYa Australia.
Participation in The Exchange is subject to funding availability, participant suitability, program requirements and final confirmation by KwaYa Australia.
Submitting an Expression of Interest does not guarantee selection, scholarship funding or participation in the program.
2. Participant Selection
Participants will be selected through an Expression of Interest and review process conducted by KwaYa Australia.
Selection will consider:

suitability for the program
-
openness to intercultural exchange
-
community and creative involvement
-
willingness to participate respectfully and collaboratively
-
alignment with the values and purpose of The Exchange
KwaYa Australia reserves the right to make final participant decisions.
3. Scholarship Support
Scholarship support is subject to successful funding outcomes and available partnerships.
Scholarship contributions may assist with:
-
flights
-
accommodation
-
meals
-
in-country transport
-
workshops and exchange activities
-
participant preparation and support
Participants may still be responsible for some personal costs including passports, vaccinations, travel insurance and incidental expenses.
The level of scholarship support may vary between participants.
4. Travel & Participation
Participants are expected to:
-
actively participate in the exchange experience
-
travel respectfully and collaboratively within the group
-
contribute positively to group culture and activities
-
respect local communities, customs and cultural differences
-
follow guidance provided by KwaYa leaders and local partners
The Exchange is designed as a collaborative intercultural experience rather than a volunteer or tourism program.
5. Health & Wellbeing
Participants are responsible for ensuring they are physically and emotionally capable of participating in international travel and program activities.
Participants may be required to disclose relevant medical information that could impact safety, travel or participation.
KwaYa Australia may decline participation where significant health or safety concerns exist.
6. Travel Insurance & Documentation
All participants will be required to:

hold a valid passport
-
obtain appropriate travel insurance
-
meet any visa, vaccination or travel requirements relevant to Uganda at the time of travel
Participants are responsible for ensuring their travel documents remain valid.
7. Program Changes
KwaYa Australia reserves the right to make reasonable changes to:
-
program activities
-
accommodation
-
travel arrangements
-
locations
-
schedules
This may occur due to funding outcomes, safety considerations, local circumstances or operational requirements.
8. Photography & Media
Photos, video and creative documentation may be captured during The Exchange for storytelling, reporting, promotional and funding purposes.
KwaYa Australia will always aim to represent participants and local communities respectfully and ethically.
Participants may advise KwaYa Australia if they do not wish for specific images to be used publicly.
9. Participant Conduct
KwaYa Australia reserves the right to remove a participant from the program if behaviour is considered unsafe, disrespectful, unlawful or significantly disruptive to the wellbeing of others or the purpose of the exchange.
Participants removed from the program may remain responsible for associated personal costs.
10. Expression of Interest
Submitting an Expression of Interest indicates that the participant:

understands the nature of the program

has read the FAQs and Terms & Conditions

understands scholarship funding is not guaranteed
-
understands participation is subject to selection and final confirmation
